Implement Microsoft Email and Storage Changes

Accomplishments

July 2024 to December 2024

  • Implemented changes to email services, including discontinuing automatic forwarding to third-party services and reducing retention times.
  • Eliminated 91,000 BuckeyeMail accounts and 269,000 Lifetime Email Forwarding accounts. 

 

January 2025 to June 2025

  • Since June, more than 789,000 unused or duplicate accounts have been successfully removed, including over 360,000 BuckeyeMail accounts and more than 100,000 @osu.edu email inboxes. This cleanup helps streamline our systems and reduce unnecessary storage and licensing costs. 
  • These efforts have already resulted in significant savings—about $250,000 in storage costs for the university and $740,000 in avoided license fees for the Alumni Association. 
  • Additional updates to how we manage licensing and identify accounts are now saving the university another $262,000 each year. These behind-the-scenes improvements ensure we’re using our Microsoft tools more efficiently and cost-effectively, while still supporting the email and collaboration needs of our faculty, staff, students, and alumni.
